# Automation Sprint | Octacer

> One workflow, automated at a fixed price.

- **HTML:** https://octacer.com/services/automation-sprint
- **Company:** Octacer is a software engineering and automation services company. It adds engineers to client teams, or delivers scoped automation, repair and MVP projects in client-owned tools and accounts.

## What it is

We automate the one workflow your team still does by hand, connecting Microsoft 365, Google Workspace, your CRM, project and accounting tools on n8n, Make, Zapier or Power Automate. The scoping call places the workflow in a tier, and the price, scope and acceptance checklist are fixed in writing before we start.

## Who it fits

- One repetitive workflow your team does by hand every week
- Teams on Microsoft 365 or Google Workspace, with a CRM, project or accounting tool such as HubSpot, Pipedrive, monday.com or QuickBooks
- AI connected to your real workflow (classify, extract, draft or score), with review where needed
- Someone on your side who can test it with us

## Not a fit

- A full app, portal or platform build: see [MVP Build](https://octacer.com/services/mvp-build), fixed quote
- An existing workflow that is broken: see [System Rescue](https://octacer.com/services/system-rescue), from $249
- A steady stream of automation work: see [Engineering Capacity](https://octacer.com/services/engineering-capacity) (AI Automation Engineer, $2,200/month)
- A workflow nobody owns on your side

## What's included

- Starter ($750, fixed; one simple workflow, about a week): 1 trigger and up to 3 apps, failure alerts, testing against agreed cases, a handover walkthrough, 14 days of defect fixes
- Production ($1,500, fixed; built to run unattended): everything in Starter plus retries and duplicate protection, a run log your team can read, written documentation, and 2 weeks of stabilization watching live runs
- Complex (from $2,500, quoted; still one business process, built as several connected workflows): everything in Production plus an AI step with guardrails and custom API or linked workflows
- The number of apps alone does not decide the tier: branching logic, data that needs cleaning first, or an unreliable API push a workflow up

## Price

- Starter: $750 fixed
- Production: $1,500 fixed
- Complex: from $2,500, quoted after scoping
- Tool subscriptions, API usage and any hosting are billed to your accounts by the vendor, with no markup

## Payment terms

- 50% to start, 50% when you sign off against the acceptance checklist
- The timeline starts once scope is signed, the first payment is in and we have access
- Anything outside the written scope is quoted before we do it, never added silently

## How it starts

1. 30-minute scoping call: whether a sprint fits, which tier, and what access we need
2. Written scope, fixed price and acceptance checklist; nothing is charged until you approve
3. Define (day 1–2), Build (week 1), Verify against the agreed test cases, then Stabilize after go-live

## Ownership and access

- Runs in your accounts; you own the workflow and its documentation
- NDA available; only necessary access is requested and you can revoke it at any time
- After the included fixes or stabilization, an optional Care plan from $299/month covers monitoring and fixes (see [System Rescue](https://octacer.com/services/system-rescue))

## FAQ

### What counts as “one workflow”?

One business process with one trigger and the chain of steps it sets off: for example, a payment that sets up a new client, or a form that produces a finished report. A Complex sprint is still one process, built as several connected workflows.

### What does “delivered” mean?

The workflow passes the acceptance checklist agreed in the written scope: the intended result, the test cases (including awkward ones), what happens when a step fails, and the handover. You sign off against that list, and the final 50% is due then. If an agreed item does not pass, we fix it at no extra cost.

### Which tools can you connect?

Microsoft 365, Google Workspace, CRMs such as HubSpot, Pipedrive, Zoho CRM and GoHighLevel, project and agreement tools such as monday.com, ClickUp, DocuSign and PandaDoc, and finance tools such as QuickBooks Online, Xero, Zoho Books and Stripe, built on n8n, Make, Zapier or Power Automate. Most other apps with an API or webhooks can be connected too.

### What changes the fixed price?

Once the scoping call places your workflow in a tier, the price is fixed in writing with the scope and acceptance checklist, before we start. After that, only work outside the written scope changes it, and that is quoted before we do it.

### Who pays for the tools?

You do, directly. The workflow runs in your accounts, so tool subscriptions, API usage and any hosting are billed to you by the vendor, with no markup from us.

### Who owns and maintains it afterwards?

You own it. Starter includes 14 days of defect fixes against the agreed checklist; Production and Complex include two weeks of stabilization. After that, a Care plan from $299/month covers monitoring and fixes.
