A real estate brokerage needed to unify its sales operations, website, and marketing activities. The team was coordinating customer relationships, property listings, and marketing campaigns across multiple disconnected systems, which forced staff to enter the same information repeatedly and kept different teams working from inconsistent records.

Octacer implemented EspoCRM as the central operational platform and connected it to the surrounding systems the brokerage already depended on. From scattered systems to one core

What was at risk

The Challenge

The brokerage's operations were split across several systems that did not share data. Customer and property information lived in more than one place, marketing activity was managed in a separate tool, and the website did not feed leads into any central system. Every time information needed to move between systems, a person had to move it manually.

Failure mode 01 Fragmented customer and property data

Customer conversations, property details, and transaction history were spread across systems that did not communicate. This meant staff had to check multiple places to understand the full state of a relationship or a listing, and update the same information in more than one system. Inconsistencies were difficult to avoid, and no single view of the business existed.

Failure mode 02 Website leads requiring manual handling

The website generated inbound interest, but those leads did not flow automatically into any operational system. Someone had to retrieve new inquiries and enter them by hand before a salesperson could follow up. This created a delay between a potential customer expressing interest and the brokerage responding, and it depended on a manual step that could be missed.

Failure mode 03 Inefficient image storage for listings

Property images were not stored in a way that supported fast, reliable delivery. Listing pages depended on slow image loading, which degraded the experience for prospective buyers browsing properties. The image handling approach also made it harder to reuse the same images across the website and other marketing channels.

Failure mode 04 Slow and unreliable Google Sheets synchronization

The team used Google Sheets as part of its daily workflow, but keeping sheet data in sync with the operational systems was slow and fragile. Updates had to be pushed manually or through an unreliable process, so the sheets frequently fell out of date. Anyone making decisions from the sheets was working from stale information.

Failure mode 05 WhatsApp leads outside the CRM

Inbound WhatsApp inquiries were not captured in any central system. A lead arriving by WhatsApp had to be transferred manually into the CRM if it was transferred at all, creating another handoff point where inquiries could be delayed or lost.

The Solution

Octacer approached the engagement by identifying the core systems the brokerage already used and connecting them around a single operational platform, rather than asking the team to adopt new tools for every function. EspoCRM became the hub; the website, marketing tool, WhatsApp channel, and Google Sheets were integrated to it.

The existing website was connected to EspoCRM so that new inquiries entered the CRM without manual data entry. Marketing activity was brought into the same platform as well, aligning campaign visibility with the customer and property records the sales team was already working from. Rather than operating as separate silos, the website, marketing, and sales workflows began feeding one operational core.

Decision 03 Image storage reworked for speed

Property image storage was redesigned so that images could be delivered quickly on listing pages. Faster image delivery directly improved the experience for buyers browsing properties, and the same images became reusable across the website and other channels without re-uploading or reformatting them per destination.

Decision 04 WhatsApp integrated as a lead channel

WhatsApp was connected to the CRM so that inbound WhatsApp inquiries were captured automatically as leads. This removed the manual transfer step and ensured that inquiries arriving through WhatsApp entered the same pipeline as every other lead source, visible to the right salespeople without anyone having to move them.

Decision 05 Reliable Google Sheets synchronization

Synchronization between EspoCRM and Google Sheets was rebuilt so that data moved reliably and quickly in the correct direction. The sheets stayed current with the CRM rather than drifting out of date, and the manual effort previously required to keep them aligned was removed.
