The Challenge

HubSpot had been configured piecemeal over time. Each stage of the revenue process worked in isolation, and the handoffs between stages were where the operation broke down. Lead data was corrupted at booking, deals depended on manual updates, contracts lived outside the CRM, and reporting could not be trusted because the data feeding it was incomplete. The company's revenue operations team was spending time correcting data and chasing manual steps — work that should have been handled by the system itself.

The booking step became a structured handoff: the lead's attribution data was preserved and passed into the deal, rather than being lost when the deal was created. Decision 02 Replace manual deal updates with automation

Octacer built automated workflows that responded to deal activity instead of waiting for someone to update a field. Decision 03 Bring contracts into HubSpot

Octacer moved contract signing into HubSpot using native document tools, so the contract lifecycle happened inside the CRM. Deal records and contract status stayed synchronized, and the team no longer had to manage a separate signing process and then update HubSpot to match. The handoff from closed deal to onboarding became a structured transition rather than a manual reconciliation.

The reporting rebuild sat on top of the data fixes.
